Maintaining Student Career Term Records


Concept


Steps:

  1. Begin by navigating to the Term Activation page.

     

    Click the Records and Enrollment link.

  2. Click the Term Activate a Student link.

  4. Use the Term Activation page to maintain a student's career term record.

  5. Use the Academic Level - Projected field to assign an academic level for the student.

     

    Click in the Academic Level - Projected field.

  6. Enter the desired information into the Academic Level - Projected field. Enter

     a valid value
     e.g.
     "GR"

  7. When you click in the Academic Level - Term Start field, the system automatically inserts the value that you entered in the Projected field.

     

    Click in the Academic Level - Term Start field.

  8. Click the Enrollment Limit tab.

  9. Use the Enrollment Limit page to maintain a student's term enrollment limits.

  10. Click the Student Session tab.

  11. Use the Student Session page to maintain a student's session data within the student’s career term record.

  12. Use the Session field to enter the type of session in which the student will enroll into classes for the specified academic program and term.

     

    Enter the desired information into the Session field. Enter

     a valid value
     e.g.
     "1"

  13. The system displays the student's Academic Load for the term. You can change the value for an individual session within the term. The system calculates academic load based on the number of units for which the student is enrolled.

  14. The system displays the same Form of Study as defined for the term on the Term Activation page of this component. You can change the form of study for sessions that differ from the term value. For example, a student's form of study for the term is Enrollment, but the student is studying abroad for one session of that term. Your choices are Abroad, Candidacy, Detached, and Enrollment.

  15. The system displays the student’s Approved Academic Load according to the value that is set on the Term Enrollment Limits page of the Academic Program component. You can override this field for an individual session within the term.

  16. Click the Terms In Residence tab.

  17. Use the Terms in Residence page to maintain a student's terms in residence or adjust a student’s transfer credit values.

  18. Click the Show following tabs button.

  19. Click the Term Control Dates tab.

  20. Use the Term Control Dates page to maintain a student’s term control dates, including the fully enrolled date, fully graded date, and dates for showing enrollment and statistics on transcripts.

  21. The system displays the Fully Enrolled Date from the Term Calendar 3 page for the specified term based on the student’s primary academic program for the term.  You can override this value.

     

    As of this date, the student’s coursework appears on the student's transcripts. This date is also used for financial aid load calculations and billing purposes.

  22. The system displays the Show Enrollment on Transcript date rom the Term Calendar 3 page for the specified term based on the student’s primary academic program for the term.  You can override this value.

     

    As of this date, the system displays the student’s work in progress on the transcript.

  23. The system displays the Show Statistics on Transcript date rom the Term Calendar 3 page for the specified term based on the student’s primary academic program for the term.  You can override this value.

     

    As of this date, the system displays the student’s academic statistics on the transcript.

  24. The system displays the Fully Graded Date from the Term Calendar 3 page for the specified term based on the student’s primary academic program for the term.  You can override this value.

     

    As of this date, the system the system considers this student's enrollment record for the specified term as fully graded.

  25. Click the External Study tab.

  26. Use the External Study page to track and maintain external study programs, such as study abroad, that apply toward a student's career term record.

  27. Enter the desired information into the External Org ID field. Enter

     a valid value
