Using the Grade Review Transcript Release Process

Steps:

  1. Begin by navigating to the Grade Review page.

     

    Click the Curriculum Management link.

  4. You can run this process by searching for an existing Run Control ID or you can add a new value. Creating a Run Control ID that is relevant to the process may help you remember it for future use.

     

    Click the Add a New Value tab.

  5. A Run Control ID is an identifier that, when paired with your User ID, uniquely identifies the process you are running. The Run Control ID defines parameters that are used when a process is run. This ensures that when a process runs in the background, the system does not prompt you for additional values.

     

    Enter the desired information into the Run Control ID field. Enter

     a valid value
     e.g.
     "GR01"

  6. Click the Add button.

  7. Use the Grade Review page to enter the request parameters. These parameters will be used to define the processing rules and data to be included when the process is run.

  8. The System Date is the date that the process assigns to the student records when it assigns the new grade review values.

     a valid value
     e.g.
     "0590"

  11. The Grade Review Status is the status to assign to a student on the Student Grade Review page if the system finds her to be fully graded for the term. The status COMP stands for Completed all Required Grades.

  12. Click in the Grade Review Missing Grades field.

  13. The Grade Review Missing Grades field represents the status to assign to a student on the Student Grade Review page if the system finds him to be in acceptable academic standing, but lacking fully graded enrollment records for the term.

     

    If the student is neither fully graded, nor in acceptable standing, the system assigns the Grade Review Excl Acad Stand field value to the student on the Student Grade Review page.  The value MISS stands for Missing Grades.

     

    Enter the desired information into the Grade Review Missing Grades field. Enter

     a valid value
     e.g.
     "MISS"

  14. Click in the Grade Review Excl Acad Stand field.

  15. This field represents the status to assign to a student on the Student Grade Review page if the system finds him to be fully graded, but his academic standing for the term is equal to the value in the Academic Standing field.

     

    If a student is neither fully graded, nor in acceptable standing, the system assigns the value of this field to the student on the Student Grade Review page.  The value ACAD stands for Excluded due to academic standing.

     

    Enter the desired information into the Grade Review Excl Acad Stand field. Enter

     a valid value
     e.g.
     "ACAD"

  16. If the Generate Transcript check box is selected, then after you run the Grade Review process you can review transcripts online or print them using the Student Grade Review page.

  17. If the Set Fully Graded Date check box is selected, the students' fully graded date (on the Term Control Dates page) will be set to the system date you set on this page.

  18. If the Process Blank Grade Review check box is selected, the system will include in your student selection set students with no grade review value.

  22. You want to process all unofficial transcripts for student athletes who are in a liberal arts undergraduate program.

     

    Click in the Academic Program field.

  27. At this point, you would continue to run the Grade Review Transcript Release process just as you would any other PeopleSoft Enterprise Process Scheduler process.
