Managing Disputed Charges



  1. Begin by navigating to the Change Item Line page.


    Click the Student Financials link.

  5. Click in the ID field.

  6. Enter the desired information into the ID field. Enter

     a valid value

  8. Use the Change Item Line page to select the account that contains a disputed charge for a student.

  9. Click an entry in the Account Details column.

  10. Click an entry in the Item Details column.

  11. Use the Line Detail Update page to enter dispute information for a student.

  12. Enter the reference number that you are using to track the disputed receivable.


    Enter the desired information into the Ref Nbr field. Enter

     a valid value

  13. The Effective Dt field is set by default to the current system date.

  14. Click in the Dispute Dt field.

  15. Enter the date that the student or organization disputed the charge.

  16. Enter the amount of the dispute.


    Click in the Dispute Amount field.

  18. Click in the Encum Dt field.

  19. Enter the encumber date from which you want the disputed amount of the payment held.

  20. Click in the Encumbered Line Amt field.

  21. Enter the dollar amount of the student’s account that the dispute encumbers in this field.

  22. The Item Term field displays the term to which the system posted the charge.


    The system populates this field with the term associated with the effective date.

  23. The system sets the Line Action by default to the action associated with the original transaction.

  24. You can enter a Line Reason code that specifies the reason for the dispute.

  25. The system sets the Description by default to the description of the original transaction.

You have successfully entered a disputed charge.
