Assigning a Checklist to an Organization


Concept


Steps:

  1. Begin by navigating to the Org Checklist Mgmt 1 page.

     

    Click the Campus Community link.

  3. Click the Checklist Management - Org link.

  4. Click the Add a New Value tab.

  5. Enter the desired information into the ID field. Enter

     a valid value
     e.g.
     "AV1019"

  6. Click the Add button.

  7. Use the Org Checklist Mgmt 1 page to assign a checklist to an organization.

  8. The Checklist Date Time field is populated with the date and time of creation of the checklist. It is set to the current system date and time.

  9. You use the Administrative Function field to specify the code of the administrative function with which this organization is associated. The administrative function codes are set up on the Administrative Functions page. 

     

    In this example, Ford Motor Company is associated with the General administrative function.

     

    Enter the desired information into the Administrative Function field. Enter

     a valid value
     e.g.
     "GEN"

  10. In the Academic Institution field, specify the entity with which this organization is associated. This entity can be a university or a college that runs independently from other similar entities and has its own set of rules and business processes.

     

    In this example, this field's default value is PeopleSoft University.  Ford Motor Company is associated with PeopleSoft University; therefore, retain the default specification.

  11. The Checklist Code field specifies the code that describes the checklist assigned to this organization. Only the checklist codes that are associated with the administrative function on the Checklist Item Functions page are available.

     

    Click in the Checklist Code field.

  12. In this example, use the code for Organization Planning.

     

    Enter the desired information into the Checklist Code field. Enter

     a valid value
     e.g.
     "ORGP"

  13. Refresh the page.

     

    Press [Tab].

  14. In the Status field, the system displays the status and the date when the status was updated. Valid status values are Initiated or Completed.

  15. Notice that the Due Date field is automatically populated based on the Checklist Code entered.

  16. Use the Due Amount and Currency Code fields to enter the monetary amount, if any, that is due as part of this checklist, and the currency in which it is expressed.

     

    Click in the Due Amount field.

  17. Enter the desired information into the Due Amount field. Enter

     a valid value
     e.g.
     "50.00"

  20. Click the Org Checklist Mgmt 2 tab.

  21. Use the Org Checklist Mgmt 2 page to place checklist items on an organization's checklist and identify who is responsible for each item.

     

    Notice that several items automatically display based on the values entered on the Org Checklist Mgmt 1 page. You can modify or delete these items as well as add new items if needed. In this example, you will use all of the default items.

  22. The Sequence field displays the number of the checklist item in the list of checklist items for this organization.

     

    The system automatically enters the next sequential number for each checklist item that you add. You can override the number manually to reorder the list of items for this checklist.

  23. The Item Code field displays the code for this checklist item. The available item codes are from the Checklist Item Functions page for the administrative function selected.

  24. The Status field displays the status of the checklist item: Initiated, In Progress, or Completed.

  25. The Status Date field defaults to the current system date.

  26. The Due Date field displays the overall checklist due date as the default due date for each checklist item. You can override this date, but it must be with an earlier date so that the item due date does not exceed the overall due date of the checklist.

  27. The Responsible ID field displays the ID of the user who created the checklist on the Checklists page. You can manually override the ID to reassign responsibility to someone else in your database.

You have successfully created a checklist for an organization.
