Producing Electronic Transcripts In Batch


Concept


Steps:

  1. Begin by navigating to the Generate Electronic Transcript page.

     

    Click the Records and Enrollment link.

  3. Click the Electronic Transcripts link.

  4. Click the Generate Electronic Transcript link.

  5. You can run this process by searching for an existing Run Control ID or you can add a new value. Creating a Run Control ID that is relevant to the process may help you remember it for future use.

     

    Click the Add a New Value tab.

  6. A Run Control ID is an identifier that, when paired with your User ID, uniquely identifies the process you are running. The Run Control ID defines parameters that are used when a process is run. This ensures that when a process runs in the background, the system does not prompt you for additional values.

     

    Enter the desired information into the Run Control ID field. Enter

     a valid value
     e.g.
     "GET001"

  7. Click the Add button.

  8. Use the Generate Electronic Transcript page to enter the request parameters. These parameters will be used to define the processing rules and data to be included when the process is run.

  9. Click the Transcript Type list.

  10. Click the Undergraduate Official list item.

  11. Click in the From field.

  12. You want to process all transcripts requested from January through June 2007.

     

    Enter the desired information into the From field. Enter

     a valid value
     e.g.
     "01/01/2007"

     a valid value
     e.g.
     "06/30/2007"

  15. At this point, you would continue to run the Generate Electronic Transcript process just as you would any other PeopleSoft Enterprise Process Scheduler process.

     

    Refer to the Running Reports module for examples of running a process.

  16. Click the Save button.

  17. When the process runs successfully, you can view the results.

     

    Click the Email Electronic Transcript link.

  18. Use the Email Electronic Transcript page to email TS130 requests in batch.

  19. Click the Notes and Details link.

  20. Use the Transcript E-Mail Detail page to enter a message to be delivered in the body of the email.

     

    This message overrides any email message included in the files of each individual request.

  21. Add a note to the recipient explaining your email.

     

    Enter the desired information into the Message field. Enter

     a valid value
     e.g.
     "Attached are the transcripts you requested for January-June 2007."

  22. Click the OK button.

  23. Process the request to send the batch of TS130 files.

     

    Click the Process button.

You have successfully produced and sent electronic transcripts in batch.
