Entering Student or Exchange Visitor Data

Steps:

  1. Begin by navigating to the Biographical Details page.

     

    Click the Campus Community link.

  5. When adding a new person to the database, the system requests a person ID. You can assign IDs in one of two ways:

    Automatically: If you use automatic ID assignment, the system adds IDs sequentially as you add new people. The system maintains the last assigned ID on the Installation Table - Last ID Assigned page.

    Manually: You enter the IDs, using any system that you choose for the organization. With manual entry, you don't need to assign IDs sequentially. Assigning IDs manually is the only way that you can include alphabetical characters in the IDs.

     

    To avoid maintaining two different sets of IDs, you should either always assign them manually or always let the system assign them. In this example, you will let the system assign the ID.

  6. Use the Biographical Details page to enter an individual's name and other basic biographical data.

  7. The Effective Date field in the Person Information section defines the date at which the name information is valid. The field defaults to the current system date, but can be modified if needed. For this example, use the default date to reflect the date the person is active in the system.

  18. SEVIS requires the name of the individual's birth city (J visa only) and country. Click the Birth Information link to enter the individual’s birth city and country.

  19. Use the Birth Information Detail page to enter or review an individual's birth location data.

  26. Use the Effective Date field in the Biographical History section to enter the date from which the marital status and gender is valid in your system.

     

    For example, if the person gets married or divorced at a later date, you would enter a new row with a new effective date to record the new information.

     

    For this example, use the default system date.

  27. In the Marital Status field, specify the individual's marital status (such as single, married, or divorced) and the As of date (if known) on which the associated marriage or divorce took place.

     

    In this example, retain the default values.

  28. In the Gender field, specify the gender of this individual. Gender is used for reciprocal relationships (mother and daughter, mother and son, brother and sister, and so on).

     

    Click the Gender list.

  30. In the National ID section, enter or confirm the country of this individual's national ID. If the individual has more than one national ID, you can add them here.

     

    Click in the Country field.

    Press [Tab].

  33. In the National ID Type field, the system displays the value that you establish for the specified country on the National ID Type Table page. You can override this default value if needed.

  34. Enter the individual's national ID number. You can enter the number with or without spaces and dashes. When you exit the field, the system formats the number based on the country and National ID Type selected.

     

    Click in the National ID field.

  36. Select the Primary check box to indicate which ID is to be used as the primary ID for this individual. If you have more than one ID listed, you must indicate a primary ID for one of the rows.

  38. The Address Types reported to SEVIS are based on the types defined in the US and Foreign fields on the SEVIS Setup page. You can view the address data on the Biographical Details page, and edit the data on the Addresses page.

  41. For F and M student visas, SEVIS requires that each student with the creation reason of Initial on the I-20 form must have a foreign address.

     

    For exchange visitor J visas, SEVIS requires that each exchange visitor have a U.S. address. If the exchange visitor does not have a U.S. address, the address entered for the Program Sponsor is sent with the Create EV event.

     

    Click the Edit Address link.

  42. Use the Edit Address page to edit an individual's address data.

  43. For a foreign address, make sure the Country and first line address fields are completed.

     

    For a U.S. address, make sure the Address 1, City, State, and Postal

    fields are completed.

     

    Click in the Street and # field.

When you save the detail page, the system writes the data to the primary data pages (Visa/Permit Data page and Citizenship/Passport Data page) also.
