Sorting Groups Based on Summary Fields



  1. Begin by opening an existing report using the Open button.


    Click the Open button.

  2. Use the Open dialog box to browse and select a report from the list.

  3. In this example, you will open the Customer Summary Information report.


    Click the Customer Summary Information list item.

  5. Use the Preview window to preview the results of reports.

  8. Use the Group Sort Expert button to sort groups by Top or Bottom N records or sort groups on summary information.


    Alternatively, select Report, Group Sort Expert menu.

  9. In this example, you sort groups using the Report, Group Sort Expert on the menu bar.


    Click the Report menu.

  10. Click the Group Sort Expert list item.

  11. Use the Group Sort Expert dialog box to analyze and report the top or bottom groups or top or bottom percentages.

  12. The tab title identifies the group field.


    If you have more than one group, there is a tab for each group.

  13. Use the For this group sort field to select the type of sort.

  14. Click the down arrow next to the For this group sort field.

    Click the Top N list item.

  16. Use the based on field to select the summary field on which to base the group sort.


    In this example, the

    Sum of UNIT1.TRAINING_UNITS field is selected by default.

  17. Use the Where N is field to enter the number of top or bottom values by which to sort.

  19. In this example, you sort groups by the top 10 customers with the highest training units.

  20. Use the Include others, with the name field to include all fields that do not fit into the top or bottom selection under a specific group name.


    Note that if you select this option and display the Group Name field, then the name that you specify will be the group name for all the other rows of data that are not in the top N groups.

  21. Use the Include ties field to accommodate groups whose summary values are equal.

  23. Use the Save button to save reports.


    Alternatively, select File, Save on the menu bar.

  26. The Customer Summary Information report is sorted by group so that the report displays the top 10 years of training unit totals.
