Adding Special Fields to Reports


Concept


Steps:

  1. Begin by opening an existing report using the Open button.

     

    Click the Open button.

  2. Use the Open dialog box to browse and select a report from the list.

  3. In this example, you will open the CUSTOMER_INFORMATION report.

     

    Click the CUSTOMER_INFORMATION.rpt list item.

  5. Use the Preview window to preview the results of reports.

  7. Use the Design window to create professional looking reports.

  8. Use the Special Fields folder to display information such as Page Numbers, Print Date, Report Comments, and so on.

  9. Double-click the Special Fields list item.

  10. Use the Data Date field to indicate date when the report last retrieved data.

  11. Use the File Creation Date field to indicate date when you created the report.

  12. Use the Modification Date field to indicate the date when you last modified the report.

  13. Use the Print Date field to indicate the current date when you print the report.

  14. In this example, you will insert the Print Date field to the right of the Report Title field.

     

    Press the left mouse button and drag the mouse to select the desired text.

  16. Use the Format Field button to format the selected object such as field, box, graphic, map, chart, and so on.

     

    Alternatively, select Format, Format Field on the menu bar; or right-click the field and select the Format Field option.

  17. In this example, you will format a date field by right-clicking the date field and selecting the Format Field option.

     

    Right-click in the Print Date field.

  19. Use the Format Editor - Date dialog box to define the style of the dates in a report.

  20. The Style group box lists a variety of date formats to enhance the report.

  21. Use the Customize button to access the Custom Style dialog box, where you can customize the date in your preferred formats.

  22. In this example, you select the March 01, 1999 style.

     

    Click the March 01, 1999 list item.

    Alternatively, select File, Save on the menu bar.

    Click the Save button.

  26. Use the Insert Text Object button to insert text into the report:

    •   The page number labels.

    •   The titles and labels.

    •   Other types of data.

     

    Alternatively, select Insert, Text Object on the menu bar.

  27. In this example, you will insert text objects in to the report using the Insert, Text Object menu.

     

    Click the Insert menu.

  28. In this example, you will select the Text Object option and drop the object in the Page Header section.

     

    Click the Text Object list item.

  30. In this example, you will enter Page: as the text, and insert a space at the end to leave space for the page number itself.

     

    Enter the desired information into the Text Object field. Enter

     "Page:"

  31. Note that you have to leave the text object in edit mode, and drag the Page Number field inside the text object to the right of the text.

     

    Press the left mouse button and drag the mouse to select the desired text.

You have successfully added Print Date and Page Number special fields to a report.
