Designing Mail Label Reports


Concept


Steps:

  1. Begin by creating a new report using the New button.

     

    Click the New button.

  2. Use the Crystal Reports Gallery dialog box to select the Mail Label Wizard and create mailing labels using a systematic process.

  3. In this example, you create a new mail label report.

     

    Click the Mail Label list item.

  5. Use the Mailing Labels Report Creation Wizard to create a report that is formatted to print on any size mailing label. You can select a commercial label type, or you can define your own layout of rows and columns for any multi-column style report.

  6. Use the Data window to select the query that retrieves the address data specific to these labels.

  7. In this example, you open the History list and select the STUDENT_LABEL table.

     

    Double-click the History list item.

  9. Press the left mouse button and drag the mouse to select the desired text.

  14. Use the Fields window to select and order the fields that appear on the labels.

     

    To select the fields on this dialog box:

    •  Press CTRL + CLICK to select multiple non-adjacent fields.

    •  Press SHIFT + CLICK to select multiple contiguous fields.

  15. Use the single-right arrow button to move selected fields to the Fields to Display text box.

  16. Use the double-right arrow buttons to simultaneously select and move all of the fields.

  17. Use the Find Field button to enter the field name to quickly locate a specific field in a query that uses many fields.

  19. In this example, select STREET1, CITY, STATE, ZIP, and COUNTRY fields using the SHIFT + CLICK combination.

     

    Click in the STREET1 field.

  23. Use the Label window to enter print parameters of labels.

  24. To enter page layout values:

    •  Select a label from the Mailing Label Type list, and the program enters predetermined specifications for that label.

    •  Select the User Defined Label option from the Mailing Label Type list and you enter custom specifications for the label.

  25. In this example, you select the Address (Avery 5260) label from the Mailing Label Type list.

     

    Click the down arrow next to the Mailing Label Type field.

  27. Select the Across Then Down option if you want labels to print left to right on the first row, and then continue to the second row and print left to right, and so on.

  28. Select the Down Then Across option if you want labels to print down the first column for the entire page, and then down the second column, and so on.

  30. Use the Record Selection window to apply additional selection criteria to the data that the query retrieves.

    •  Select the fields that you use in the criteria.

    •  Select the conditions based on the field selection.

  33. The wizard designs the labels using the specifications you enter and displays a preview of the MAIL_LABELS report in Preview window.

  34. Use the Save button to save reports.

     

    Alternatively, select File, Save As on the menu bar.

  35. In this example, you will save the report label using the Save button.

     

    Click the Save button.

  36. Use the Save As dialog box to name the report and to navigate to the folder where you want to store the report.
